Cloud storage full: what to do first?

If your cloud storage is full, start by emptying the trash, then find your largest files and folders, move old photo and phone backups elsewhere, and remove duplicate videos. These four steps free the most space in the least time. If you still need more, buy a larger plan or add a second service.

What you need before you start

You need your login, about thirty minutes, and a place to move files temporarily, such as an external drive. Never delete large folders until you have a verified copy somewhere else.

  • Access to the provider’s website, which shows storage details better than most apps.
  • An external drive or a second cloud account for archives.
  • A list of what you must keep: documents, family photos, work files.

Step-by-step: free up cloud storage

1. Check what is using space

Open your provider’s storage page to see the breakdown by service or file type. Google shows Drive, Gmail and Photos separately, as its Google One storage page explains. Microsoft shows OneDrive and Outlook. Apple shows backups, photos and apps, and lists upgrade tiers on its iCloud+ plans page.

2. Empty the trash

Deleted files sit in the trash and still count against your quota, often for 30 days. Empty it to reclaim space immediately. Check first that nothing important is there.

3. Sort files by size

In the web app, sort by size or use the provider’s “large files” view. Videos, ZIP archives and disk images usually top the list. Delete or move what you no longer need.

4. Remove old device backups

Old phone and tablet backups often take gigabytes. Delete backups for devices you no longer own. Keep the latest backup of your current phone.

5. Clean email attachments

Search your inbox for large attachments, for example larger:10M in Gmail. Save important attachments to a folder, then delete the emails.

6. Move archives off your main account

Move finished projects and old photo years to an external drive or a cheaper archive service. Verify the copy opens before you delete the cloud version.

Common errors and fixes

The most common problem is that space does not update after cleaning. Storage counters can take hours to refresh, and trash or versions may still hold data. Work through these fixes in order.

ProblemLikely causeFix
Space not freed after deletingFiles still in trashEmpty trash on the website
Space still not freedCounter delayWait up to 24 hours, then sign out and in
Email stopped workingShared quota fullDelete attachments, then check mail flow
Sync stoppedQuota reachedFree space, then restart the sync app
Phone backup failsNot enough space for new backupDelete old backups or exclude apps

If sync stays stuck after you free space, read how to fix sync.

How to verify you freed space

Refresh the storage page on the provider’s website and confirm the new total. Then add a small test file to check sync works again. On phones, run a manual backup and confirm it finishes.

Prevent it from filling again

Most full drives fill through automatic photo backup. Decide where photos should live, set up selective sync, and review storage every quarter.

  1. Choose one service for photos. See cloud storage for photos.
  2. Turn off duplicate backups to several services.
  3. Check the right plan size with how much cloud storage do I need.
  4. Keep a separate backup, as in our cloud backup guide.

Frequently asked questions

What happens when my cloud storage is full?

New files stop uploading and sync pauses. Depending on the service, email can stop arriving, phone backups fail and shared files may not update. Existing files stay safe and accessible. Free up space or upgrade to restore normal service.

Will deleting files from my computer free cloud space?

If the folder is synced, deleting a file on your computer also deletes it from the cloud, moving it to the cloud trash. Space returns only after the trash is emptied. If you want to keep files locally but not in the cloud, move them out of the synced folder.

Is it safe to delete old iPhone backups from iCloud?

It is safe to delete backups of devices you no longer use. For your current phone, keep the latest backup or make a new one first. Deleting the only backup of an active device means you cannot restore it if the phone is lost.

Why is my Google storage full when Drive is almost empty?

Google’s 15 GB free storage is shared by Drive, Gmail and Google Photos. Large email attachments or many photos can fill it even if Drive looks empty. Check the storage breakdown in your Google account to see which service uses the space.

Should I upgrade or clean up my cloud storage?

Clean up first, because many accounts are full of trash, old backups and duplicates. If you still need more space, upgrading is cheap compared with the time spent managing a full drive. Compare renewal prices before choosing a plan.
