How much cloud storage do I need?

Most people need between 100 GB and 2 TB of cloud storage. Documents alone fit in under 50 GB, a phone photo library usually needs 200 GB to 1 TB, and families or video creators often need 2 TB or more. Add up what you store today, then add about 50 percent for growth.

ProfileWhat you storeRecommended plan
Light userDocuments, a few photos15–50 GB (often free)
Typical smartphone userDocuments + phone photos and videos200 GB
Photo enthusiastYears of photos, some 4K video1–2 TB
FamilySeveral phones, shared albums2 TB shared
Video creatorRaw footage, project files5–10 TB or NAS + cloud
Full PC backupEntire computerUnlimited backup plan or size of disk + 50%

A simple way to calculate your needs

Measure, don’t guess. Check how much space your files use today on each device, remove duplicates, then add growth. This takes about ten minutes and prevents paying for space you will never use.

  1. Phone: open storage settings and note the size of Photos and Files.
  2. Computer: check the size of Documents, Desktop, Pictures and Videos folders.
  3. Existing cloud accounts: note current usage on each.
  4. Remove overlap: photos on your phone and in Google Photos are the same files.
  5. Add growth: multiply by 1.5 for the next two to three years.

Example: 120 GB of phone photos + 30 GB of documents = 150 GB. Multiply by 1.5 = 225 GB. A 200 GB plan will be tight; 1 TB or 2 TB gives room, often at a small price difference.

How much space common files take

Photos and video drive almost all storage growth. Documents are tiny by comparison. Use these rough figures to estimate quickly.

File typeApproximate size1 TB holds about
Word or PDF document0.1–2 MBHundreds of thousands
Phone photo (HEIC/JPEG)2–5 MB200,000–500,000
RAW camera photo25–60 MB15,000–40,000
1080p video, 1 minute100–150 MBAbout 110–170 hours
4K video, 1 minute350–450 MBAbout 35–45 hours
Music track (MP3)5–10 MB100,000+ songs

Plan tiers such as 200 GB and 2 TB match common offers, for example iCloud+ and Microsoft 365. Sizes vary by device, settings and codec. Treat these as estimates for planning, not exact figures.

Storage, sync and backup need different amounts

If you only sync working files, you need less space than if you back up your whole computer. Backups also keep old versions, which add to the total. Decide what job the cloud is doing before you choose a size.

  • Sync working files: size of the folders you work in.
  • Photo library: full library size plus yearly growth.
  • Full backup: disk size plus room for versions, or an unlimited backup plan.

Read how sync differs from backup if you are unsure which you need.

Common myths about storage size

  • “I’ll fill 2 TB in no time.” Few non-video users exceed 1 TB, even after years.
  • “Bigger plans are always worse value.” The opposite is often true; 2 TB often costs little more than 1 TB.
  • “Free space is enough with auto photo backup on.” Phone backups fill free tiers within months.
  • “Unlimited is the safe choice.” True unlimited sync plans are rare and come with fair-use terms. See cloud storage with unlimited storage.

What to check in a provider

Once you know your size, check whether the provider’s tiers fit it without a big jump, whether family plans share space, and whether the renewal price stays fair. Privacy and apps should still decide between close options.

  1. Tier steps that match your number.
  2. Shared family storage if several people need space.
  3. Renewal price, not only the first-year discount.
  4. Encryption model; see zero knowledge cloud storage.
  5. Lifetime option if you plan to stay many years: lifetime cloud storage.

Frequently asked questions

Is 200 GB of cloud storage enough?

For many smartphone users, yes, for a year or two. It holds tens of thousands of photos and plenty of documents. If you shoot a lot of 4K video or share storage with family, 200 GB fills quickly, and 1 TB or 2 TB is better value.

Is 1 TB of cloud storage a lot?

Yes, for most people. One terabyte holds roughly 200,000 or more phone photos, or around 35 to 45 hours of 4K video. Unless you store large video projects or back up several computers, 1 TB lasts a typical user many years.

How much cloud storage does a family need?

Most families of four do well with a 2 TB shared plan, as offered by Apple, Google and others. Check whether storage is shared or split per person, and whether everyone’s phone backs up automatically, since that drives usage.

Do I need cloud storage if I have an external hard drive?

Yes, ideally both. An external drive is fast and cheap, but it can fail, be lost or be damaged in the same fire or theft as your computer. Cloud storage gives an offsite copy, which the 3-2-1 backup rule recommends.

Can I upgrade my cloud storage later?

Almost always. Most providers let you upgrade instantly and charge the difference. Downgrading can be harder if you already use more than the smaller plan allows. Start with a plan that fits your measured needs plus growth.
